Faculty Access to Accommodation Letters

Accommodate allows faculty to view and acknowledge receipt of student accommodations letters.

Accessibility is a shared responsibility and an important part of Brown’s commitment to inclusive teaching and learning. Faculty help ensure that students with disabilities can fully participate in their courses by reviewing accommodation letters, communicating with students, and implementing approved accommodations in a timely and consistent way.

Accommodate allows faculty to view and acknowledge receipt of student accommodation letters. Students request accommodation letters through Accommodate by submitting a Semester Request. Once submitted, accommodation letters are sent to faculty through the system.

Faculty can review letters in Accommodate by course or alphabetically by student name. Faculty should continue to communicate with students about how approved accommodations will be implemented in each course. Students do not need to disclose their diagnosis, disability, or medical information when discussing accommodations.

How to Review Accommodation Letters in Accommodate

  • Log in to Accommodate. Use your Brown username and password. The first screen may display SAS news such as important dates, or other helpful information.
  • View List of Accommodation Letters. You can: 
    • View all letters in the Accommodation Letters tab, or
    • View letters organized by course in the Courses tab.
  • Review the Letter(s). From the Accommodation Letters list, you can either view the listed approved accommodations, or generate a PDF copy to download.
  • Acknowledge Receipt of Letter(s). After viewing the letter, faculty should then click Submit to acknowledge receiving it.

Implementing Accommodations and Communicating with Students

Students should continue to communicate with instructors about the implementation of their accommodations. Students may still send a copy of the PDF letter to help with describing how accommodations would be implemented. It is important for instructors to remember that they can ask questions on how to best ensure access in class. However, students are not obligated to disclose their diagnosis, disability, or any other protected medical information. 

All students approved for academic accommodations with SAS will submit a Semester Request in Accommodate to notify faculty. 

Access for Teaching Assistants (TAs)

If a teaching assistant (TA) needs access to a student's accommodation letter to help implement accommodations in your course, SAS can provide access through Accommodate. After a student has requested accommodations in your course, please email sas@brown.edu with the following information:

  • Course code (ex. CLPS 1234)
  • TA Name and Email address
  • TA Brown ID number 

Important: Access is only provided when there is a legitimate educational need related to implementing approved accommodations for a student enrolled in the course. SAS will review the request and grant access as appropriate.
